1. Who we are

Silentsystem Singapore Pte Ltd (UEN 202115145M), 36 Robinson Road, City House #20-01, Singapore 068877, is the organisation responsible for the personal data collected through this website and in the course of our rental and sales activities in Singapore. Silentsystem Singapore is part of the Silentsystem Audio Global group.

3. Personal data we collect

• Contact and identification data: name, company, job title, email address, phone number, delivery and billing address.
• Event and order data: event date, venue, number of guests, equipment requested, quotes, orders, rental agreements, deposits, delivery and pickup details.
• Payment data: payment status and references. Card details are handled by the payment provider and are not stored by us.
• Communications: the content of messages you send us by form, email, phone or WhatsApp.
• Technical data: IP address, browser and device information and pages visited, collected through cookies and similar technologies as described in our Cookie Policy.

We do not ask for your NRIC or other national identification numbers, unless required by law or strictly necessary to establish your identity to a high degree of fidelity (for example, for high-value equipment rentals), in which case we will explain why before collecting it.

4. How we collect personal data

We collect personal data directly from you when you fill in a form on this website, request a quote, place an order, sign a rental agreement, contact us or attend one of our events; from your organisation when it designates you as a contact person; and automatically when you browse the website.

5. Purposes

We collect, use and disclose personal data for the following purposes:

• responding to enquiries and preparing quotes;
• processing orders, rentals and purchases, including delivery, pickup, deposits, invoicing and payment;
• providing technical support, warranty, repair and replacement services;
• managing our relationship with customers, suppliers and partners;
• complying with legal, tax and accounting obligations, and establishing or defending legal claims;
• improving our website, products and services;
• sending marketing information about our products and services, only where you have given your consent.

6. Consent

We collect, use and disclose your personal data with your consent or where the PDPA otherwise permits it, for example where it is necessary to fulfil a contract with you or to comply with the law. When you submit a form or provide your details for a quote or order, you consent to the use of your data for the purposes for which you provided it.

You may withdraw your consent at any time by contacting our Data Protection Officer. We will process your request within a reasonable time and inform you of the likely consequences: for example, we may no longer be able to provide a quote or complete an order. Withdrawing consent does not affect processing carried out before the withdrawal or where the law allows us to continue.

7. Marketing and Do Not Call

We send marketing messages only with your consent, and you can unsubscribe at any time using the link in our emails or by contacting us. We do not send marketing messages by phone call, SMS or WhatsApp to Singapore numbers registered with the Do Not Call Registry, unless you have given us clear and unambiguous consent in writing or in another accessible form.

8. Disclosure to third parties

We do not sell personal data. We may disclose it, only to the extent necessary for the purposes above, to:

• courier and delivery partners (such as DHL, Ninja Van, Lalamove and uParcel) for deliveries and pickups;
• payment providers, banks and our accountants and auditors;
• IT, hosting, email and form service providers that support our website and operations;
• other companies of the Silentsystem Audio Global group, for example when equipment or technical support comes from another branch;
• professional advisers, insurers and public authorities, where required or permitted by law.

Service providers act on our instructions and are required to protect personal data with appropriate safeguards.

9. Transfers outside Singapore

Some of our service providers and group companies are located outside Singapore, for example in the European Union and Hong Kong, and our website is hosted on servers in the European Union. When we transfer personal data outside Singapore, we take appropriate steps, including contractual safeguards, to ensure it receives a standard of protection comparable to that under the PDPA.

10. Protection

We protect personal data with reasonable security arrangements, including encrypted connections (HTTPS), access controls limited to authorised staff, and confidentiality obligations for our employees and service providers. No method of transmission over the internet is completely secure, but we work to prevent unauthorised access, collection, use, disclosure, copying, modification or disposal.

11. Retention

We keep personal data only for as long as it is needed for the purposes for which it was collected, or as required by law. Quote requests that do not lead to an order are normally deleted within 24 months; order, invoice and accounting records are kept for at least 5 years, as required by Singapore tax and company laws. When data is no longer needed, we delete it or anonymise it.

12. Access and correction

You can ask us for access to the personal data we hold about you and information on how it has been used or disclosed in the past year, and ask us to correct any error or omission. Send your request to our Data Protection Officer. We will reply as soon as reasonably possible, normally within 30 days; if we need more time, we will tell you. We may charge a reasonable fee for access requests, and we will inform you of it in advance.

13. Data breaches

If a data breach occurs, we will assess it promptly and, where it is likely to result in significant harm or is of a significant scale, notify the Personal Data Protection Commission (PDPC) and the affected individuals as required by the PDPA.
